CRM

For users and managers, when the office has the CRM option on.

CRM is this office’s private list of vendors, buyers, tenants, and other people. Another office cannot see them. Personnel (agents and staff) stays a separate menu.

If you do not see CRM in the top menu, the option is off. Ask your manager or support. It is not on for every office.


People

Open CRM from the menu.

  1. Add person — name, company, email, phones, address, birthday, anniversary.
  2. Open a person to edit details.
  3. On Properties, search a listing and choose a role (vendor, buyer, tenant, landlord, solicitor, conveyancer, property manager, or other).
  4. On Notes, add a note, call, or email. Search the list, edit a note, or archive one you no longer need. Each row shows when it was written and who wrote or last changed it. Notes stay with this office.
  5. On Files, upload an agreement, ID, report photo, or other matter file. Mark Portal only when a later guest should see it. Archive a file to take it off the list. These files stay under this office and do not mix into MyFiles.
  6. On Forms, start a seeded checklist (open home, condition report, offer, or vendor onboarding). Save a draft or mark it complete.

Search by name, email, or mobile.


Calendar

On CRM, switch to Calendar.

  • List shows upcoming scheduled events. Schedule is the week / fortnight / month calendar. Day is one day with a row per agent.
  • Add a visit, open home, appointment, offer, call back, or print-card job. Link a person and a listing. Drag an event to move it.
  • Birthdays, anniversaries, and listing / sold / auction dates appear from a prebuilt calendar index. The calendar never scans every listing to draw a view. Waiting-for-copy chips stay off.
  • Saving a birthday on a person queues a Birthday card — print due event (default 10 working days before). A sold date on a listing queues a Congrats card — print due event for the vendor when one is linked.
  • Open a print-card event and use Create order after Card settings maps the office products. Proof, print, and dispatch stay on the usual Orders path.
  • Save tab keeps the current type / status / agent filters as a named view.

The vendor / buyer portal is a later piece of the same option.


Listing Contacts

On a listing, open the Contacts tab (it is available only when CRM is on).

  • See everyone linked to that listing.
  • Link someone who is already in the office CRM, or add a new person.
  • Add a note about the listing. Type and subject sit on one row; details span the width. Search notes, then edit or archive. Each note shows the time and the person who wrote or last changed it.
  • Upload listing files and start the same checklists as on a person. Report photos sit with the listing so a condition report can point at them.
